2022-2023 Idaho Eats Catering Policies

Service
Idaho Eats Catering estimates 1 server to 16 guests for a plated meal and 1 server to 30 guests for a buffet or reception.

Attendants - Plated Meal
  • 1 Staff Per 16 Guests, 4 Hours Service, $25 Per Hour

Attendants - Buffets, Receptions
  • Guest Count 200 & Below: 8 Staff, 4 Hours Service, $25 Per Hour
  • Guest Count 201 - 250: 10 Staff, 4 Hours Service, $25 Per Hour
  • Guest Count 251 - 300: 12 Staff, 4 Hours Service, $25 Per Hour
  • Guest Count 301 - 350: 15 Staff, 4 Hours Service, $25 Per Hour
  • Guest Count 350+: Custom Price
 
Idaho Eats Catering also provides additional event support staff as needed to transport, deliver food, set up and clean events as needed. 
 
We calculate all labor required to work an event into the overall cost estimate to the client.  Any additional personnel requested by the client to be at the event will be charged according to the following scale: 
  • Chef/Pastry Chef - $75.00 per hour (2 hours minimum)
  • Front of House Server/Bartender - $35.00 per hour (2 hours minimum)
  • Utility Associate - $25.00 per hour (2 hours minimum) 
We charge a 20% service fee to cover the set-up and take-down costs associated with a staffed event.   
 
Events that require unscheduled service (due to client actions) to an event venue to set up or take down an event may result in an additional Service Fee of 20% or $50.00, whichever is greater. 
 
Orders
All orders for catering need to be placed and confirmed at least 14 days prior to the event.  Events requested and confirmed with less than a 7-day notice will result in an additional Service Fee of 18% or $50.00, whichever is greater. 
 
Cancellation
Events cancelled with less than a 3-day notice will be subject to a cancellation charge up to the full confirmed amount of the event.  We will work with all clients to keep cancellation charges to a minimum. 
 
Changes
Significant changes or multiple changes to a confirmed event with less than a 7-day notice will be subject to a Service Charge of 18% or $50.00, whichever is greater.  We will work with clients to keep change charges to a minimum. Additional food cost may be applied to significant food changes. 
 
Event Duration
Idaho Eats Catering calculates its pricing based upon the following Event Duration criteria: 
  • Served Meals: 1.5 hours from the confirmed start of service to the confirmed end of service. 
  • Buffets and Receptions: 2 hours from the confirmed start of service to the confirmed end of service. 
Events running longer than these parameters will be subject to an additional service fee. We will work with clients to keep these costs to a minimum. 
 
Event Delays 
Events that end later than the confirmed time will result in additional labor charges based upon the following scale: 
  • Chef/Pastry Chef - $75.00 per hour (1 hr. minimum up to the event delay)
  • Front of House Server - $35.00 per hour (1 hr. minimum up to the event delay)
  • Utility Associate - $25.00 per hour (1 hr. minimum up to the event delay)
 
Payment 
For all clients that are not a University of Idaho department, Catering requires a 50% deposit on all confirmed events 7 days before the event and payment in full on the day of the event. Any additional charges incurred during the event will be due in full the following business day.
 
Guarantees
When an event is priced per person, Idaho Eats Catering will charge the client the confirmed number of guests or the actual number of guests, served whichever is greater.   

Tastings
Menu tastings can be scheduled to sample proposed menus, gather feedback and confirm offerings for an upcoming event. Our tastings are offered for confirmed events and must take place a minimum of three weeks before the event. The cost of each tasting varies and will be confirmed before being added to the final bill. Unless specified and confirmed prior, tastings will occur in the Conference Room of Idaho Eats Catering at the Wallace Residential Building. 

Menu Structure
Idaho Eats Catering can accommodate guests with special dietary requirements. Typically, these accommodations are offered with no additional cost to the client; however, we may charge an additional Production Fee for special dietary meals based upon the complexity of the requirements. If an additional Product fee is need, we will discuss with the client an appropriate price.
 
Idaho Eats Catering will not act as a subcontractor or secondary provider for an event. Exceptions do apply; please speak with your Idaho Eats Catering team member for more details.    

Equipment
Equipment used at catered events should not leave the premise where the event is hosted. The cost of any equipment that cannot be located after the event has concluded will be charged to the final event invoice. This includes but is not limited to centerpieces, floral arrangements, and linens.    
 
China Service Fees
  • Guest Count 200 & Below: $3.49 Per Person
  • Guest Count 201 - 250: $3.99 Per Person
  • Guest Count 251+: Custom Price
Table Linen Fees
  • 8 Foot Tables - $25 Per Table
  • Rounds - Floor Length $25 Per Tables
  • Custom Sizes Quoted Per Event
Food Safety
Unless specifically ordered and contracted as carry-out items, no food or related products may be removed from the service area, except by authorized representatives of Idaho Eats Catering. We cannot provide containers for packaging leftover food. 

Minimums
Please refer to the catering guide for minimum orders on items.   

Delivery Fee
Deliveries less than $250 will have a $50 delivery fee. We will deliver to any event in Moscow for $50. If it is outside of the city limits, we will discuss with the client an appropriate fee for the delivery.

Meeting Room and Equipment
Please reserve all non-food related equipment by contacting Events and Conference Services at 208-885-4152. This will include room reservation, set and room configuration, audio visual and other general information.
