Terms & Conditions

Booking Hospitality

Please ensure that all hospitality bookings are submitted via Spoonfed. You can access it through Staff space.

Ordering & Delivery

·       A valid cost code and relevant department

·       Campus and room location, delivery and collection time

·       If you`re a student organising on behalf, you must have a superior who can provide the details of the funding of your event.

Please ensure that you have booked the room required for your event and received confirmation before placing your catering order. Please allow 30–60 minutes for the catering team to deliver your order, depending on the size of the booking. If you are unsure of the required delivery time, the site manager can advise.

When booking your room or space, arrangements with KUSCO must be made to organize tables for catering in advance. If you`re unsure how many needed, please get in touch.

If you have any questions about hospitality or would like to arrange a reception, bespoke menu, please email to catering@kingston.ac.uk or contact the Hospitality Manager at Kingston University on 07767 770498.

We also provide a contact card with the telephone numbers of our dedicated Catering Managers, should you have any queries regarding your order or delivery on the day.

Delivery times

Please ensure time is allowed for our team to set up before the event begins. The room should therefore be booked and accessible to our catering team well in advance.
If your booked room is locked, you must liaise with KUSCO security in advance to unlock it.
We may deliver up to 10 minutes before your requested delivery time.

All deliveries will be set up in the room you have booked. Tablecloths are available at an additional cost (see Tableware and Service Charges below).

Collection times

We follow collection times as much as possible, but we deliver to numerous rooms around the campus. If your room is booked after the event, please make a note in the Special Requests/Dietary Requirements box.

As the organiser, you are responsible for ensuring that all catering equipment, crockery and other items are available in the room after the event. If items are removed from the delivery location, additional charge will apply. (see Tableware and Service Charges below).

Delivery to open spaces

We deliver to open spaces and communal areas, such as the Town House at Penrhyn Road and the Atrium at Kingston Hill. Unless a staffed service has been booked, your order will be left at your location, so please ensure that someone is available to receive the delivery.
Please note, we cannot accept responsibility for orders once the delivery has been completed.

 

Notice Periods

All catering bookings must be submitted via Spoonfed at least three working days before the event. Please note, that weekends and bank holidays does not count as working days.

The food and drink options in this brochure are for service and delivery between 8:30 – 16:30.

Early/late deliveries

·       Delivery before 8:30 will be subject to out of hour fee.

·       After our collections or deliveries incur a charge, but this looked on a case-by-case basis, depending on the event

For out-of-hour before (08:30, after 16:30, or weekends) and last-minute bookings; please email to catering@kingston.ac.uk. (additional charges apply)

Bookings received within three working days of the event may incur a 20% late booking fee, for last minute events also email catering@kingston.ac.uk.

Order cut-off times

3 working days for food and beverage.
7 working days for conferences, bespoke or large events.
Cancellations made less than one working day before the scheduled delivery may be charged up to the full value of the order, depending on the contents of the booking.

Locations

For Health and Safety reasons and to ensure duty of care to the team, we are unable to delivery to locations without step-free access.

Please note that if the lift is not operational at the time of delivery, we reserve the right to modify or decline delivery to the specified location.

Service limitations

In certain locations such as Dorich House Museum, red wine consumption may be restricted in designated areas to support the building preservation.

Catering in lecture theatres

Please note, some locations around the university where catering tables cannot be set up for hospitality. For these locations we reserve the right to deliver hospitality with “Veg Ware” cups and plates.

 

Charges & Surcharges

 

Loss/Breakage Charge


Additional charges will apply if catering equipment is not left at the delivery/collection location at the collection time. Equipment that is unavailable for collection at the end of the event will be charged at the applicable replacement cost.

If they`re are misplaced, please return within 48 hours.

Labour charges

For weekend deliveries a minimum of 2 hours of staffing fee will be added to your order. This could vary depending on the scale (food, drinks etc.) and the length of your event.
To maintain appropriate staffing levels for a smooth service, labour charge is dependent on your event location, time, scale and size etc. This will be clarified/communicated in advance.

Van delivery charges

Tolworth Sports Ground, Dorich House Museum, Seething Wells, Clay Hill and Middle Mill

Locations outside the University’s core sites are serviced by van delivery. Delivery times may be affected by traffic, roadworks, or other circumstances beyond our control. Please take this into consideration when booking for these locations.
A delivery fee applies to the locations above. Additional staffing charged at £19.85 per hour per person, depending on guest numbers and event scale. This will be confirmed in advance.

·       £19.85 delivery fee per delivery slot plus end of day collection.

Roehampton Vale Campus - No delivery/collection fee within service hours.

Cancellation fees

·       0% charge on 5 or more working days’ notice

·       50% charge with 3-4 working days’ notice

·       100% charge with less than 2 working days’ notice
(weekends or bank holidays does not include)

To cancel your order please email as soon as possible to catering@kingston.ac.uk.

Corkage fees

·       £5 bottle of beer

·       £8 bottle of wine

·       £10 bottle of prosecco
(glassware can be provided for additional fee)

Tableware & service charges

The following items and services are available at an additional cost:

  • Glass hire – £0.5
  • Black Table linen £9
  • White/black poser table linen £8
  • Service charge – 1 server per £19.85/hour
    staffing is subject to adjustment, based on the nature and requirements of your event
  • Last-minute cold or hot beverage items – £1 per person
  • Last-minute cold or hot food items – £1 per person


If your event requires additional equipment rental due to the volume or scale of your hospitality requirements, the rental cost will be communicated and added onto your order in advance.

 

Alcohol Licensing

Personal License Holder

Penrhyn Road, Kingston Hill, Roehampton Vale
including (Halls of residency at Seething Wells, Clay Hill, Middle Mill)

At Kingston University, Aramark holds the premises licence for alcohol sales. If you are planning to sell your own alcohol at an event, you must need approval from our Aramark Account Director or the Designated Premises Supervisor (DPS) in advance.

Additional charges apply for extended service hours.

If you plan to sell your own alcohol on site, a PLH must be assigned. We can arrange this for you.

·       £150 for 4 hours Monday to Friday

·       £250 for Saturday

·       £380 for Sunday or Bank Holidays

 

Price Increases & Future Bookings

We review our prices annually during the final weeks of August.

If you book hospitality for the next academic year before the revised prices published, a provisional quote will be provided and will be updated once the new price list comes into effect

We will notify you of any price changes as soon as possible.
Our Prices will be valid until 2027 August 31.


Allergy and Dietary Information

Aramark is committed to supporting the University's sustainability ethos and is proud to serve Fairtrade products across our hospitality menus.

Our menu items are prepared in kitchens that handle a range of allergen ingredients and are therefore not allergen-free environments.

Our hygiene practices are designed to reduce the risk of cross-contamination, and our catering teams receive regular allergen training to help maintain these standards.

As recipes may change from time to time, please speak to a member of the catering team if you require confirmation of ingredients before ordering.

Unfortunately, we cannot guarantee that any food is completely free from nuts, gluten or other allergens, as these ingredients are handled within the same kitchen environment.

Please advise us of any dietary requirements, allergies or food intolerances when placing your order.

All hospitality bookings will be provided with a full allergen information sheet, and our team will be happy to answer any questions.

Please note that requests relating to non-regulated allergens (for example pumpkin seeds, coriander, tomatoes or citrus fruits) may not always be possible to accommodate.
