MEETING ROOM HOSPITALITY – DL/78, DL/28

DL/Service Terms & Conditions

WELCOME

All catering at DL/28 and DL/78 is provided by BaxterStorey trading as DL/Service.

How to Order

 You will receive an email relating to your room booking 7 calendar days prior to your meeting containing a link to order food and refreshments to your meeting room.  This link will take you to the DL/Service Meeting Room Hospitality ordering platform where you will be able to place your order; https://api.getspoonfed.com/1623/DL-Service/.

Complimentary Beverage Service

All meeting room bookings benefit from complimentary still water, a selection of teas, filter coffee and biscuits. You may add multiple replenishments to your booking via the DL/Service Meeting Room Hospitality ordering platform and request these to be delivered at times convenient to you. From time to time, our commitment to fulfil delivery times may be subject to availability, however, all reasonable efforts will be made to adhere to these. 

Payment

You will be able to pay directly via card or on account to be invoiced. Payments via card can be made by anyone. For on account invoicing, we require the company name and billing information before orders are made. Such companies must be tenants of Derwent London Plc, with an unexpired lease at the time and date of the meeting room booking. ‘On Account Invoicing’ is available upon receipt of an application, signed by an authorised signatory. DL/ Service reserves the right to refuse applications for ‘On account invoicing’.

Amendments and Cancellation

All meeting room catering bookings can be cancelled or changed within 2 working days via the DL/Service Meeting Room Hospitality ordering platform . Please note that cancelling your meeting room booking alone does not serve to cancel your catering order, which must be done separately in writing or via the DL/Service Meeting Room Hospitality ordering platform

Dietary Restrictions and Food Allergies

It is important to be aware of and consider any special dietary restrictions and requirements of your guests when placing an order as you will be responsible for ensuring that these are communicated to us. Please make sure to notify us in the first instance, and update us with any changes in dietary restrictions or allergens. Please drop us an email DL28hospitality@derwentlondon.com or DL78hospitality@derwentlondon.com.

 

ORDERING REQUIREMENTS

To ensure we are able to fulfill your meeting room booking, we kindly request the following:

Notice Period

Placing all orders before the cutoff time by of 12 noon, 2 working days prior to your meeting room booking. For example, order by 12pm Monday for delivery on Wednesday at 9am. All meeting room hospitality orders operate Monday to Friday. 

Late Notice

We understand that hospitality requirements can arise unexpectedly outside of our 2 working day policy. If you have a last-minute request, please contact the DL/Service Hospitality team on the below and we will do our best to accommodate your requests. All late requests will need to be approved by the DL/28 or DL/78 management team and DL/Service Hospitality team:

Minimum and Maximum Quantity

A minimum quantity of 6 persons and a maximum of 30 persons applies to all catering orders. For any requests outside of this, please contact the DL/Service team on:

ALCOHOL

Any alcoholic beverages provided through DL/Service must remain within DL/28 and DL/78 and should not be taken off premises. Orders containing alcoholic beverages can only be made between 12:00pm and 21:00pm as per our licensing terms. Any alcoholic drinks cannot be taken onto the terrace after 6pm or off premises at any time.

PRIVATE HIRE

All private hire bookings must be confirmed with the DL/28 or DL/78 Management team prior to arranging any hospitality catering.

THINGS TO KNOW

Perishable items can only be kept out for a maximum of 2 hours to ensure the safety and freshness of your meal. This precaution can help avoid any potential health hazards.

All prices listed are exclusive of VAT, a 20% charge will be added to your final bill. A VAT receipt will be generated upon receipt of payment.

As part of the General Data Protection Regulation (GDPR), it is our duty to ensure that data is handled in a way compliant with the law. This requires that any Data Controller using a Data Processor has a written contract clarifying the responsibilities and liabilities of each party.

Use of our services recognises us as the Data Processor, and you as the Data Controller. A Data Controller is a natural or legal person or organisation which determines the purposes and means of processing personal data; a Data Processor is a natural or legal person or organisation which processes personal data on behalf of a Controller. Data held will belong to your customers (“Data Subjects”).

CLICK AND COLLECT 

DL/Service Terms & Conditions

WELCOME

All Click & Collect catering is provided by BaxterStorey Limited trading as DL/Service (“BaxterStorey”, “DL/Service team”, “DL/28 or DL78 management team”, “we”, “us”).

How to Order As an employee of a commercial tenant in an eligible Derwent London building, details of which can be found on the DL/App noticeboard (an “Eligible Building”), you are eligible to order catering for collection which can be ordered via the booking platform (as further detailed herein). Orders must be placed two (2) working days ahead of the collection date and time for your full order to be prepared. Orders placed less than two (2) working days ahead of collection may be delayed or not fulfilled in part or in their entirety.

BaxterStorey outsources the Click & Collect catering to Spoonfed. The following link will take you to the Click & Collect Hospitality booking platform where you will be able to place your order: https://api.getspoonfed.com/1623c/DL-Service/ (the “Platform”).

Collection at DL/78 Fitzrovia or DL/28 Old Street Collection is usually from either of the DL/Service cafés at DL/78 in Fitzrovia (78 Charlotte St, London W1) or DL/28 in Old Street (28 Featherstone St, London EC1) but the location of collection may vary from to time in the event of closure of one or more collection points. The alternative collection point shall be communicated to you prior to collection taking place. You, or your nominated person, will be required to quote the order number and present your Member's Card upon arrival. Failure to do so may cause delay or prevent the team from being able to hand over your order. From time to time, our commitment to fulfil delivery times may be subject to availability, however, every effort will be made to adhere to these.

Payment You will be able to pay directly via card. Payments via card can be made by anyone who is an employee of a direct commercial tenant of Derwent London Plc (a “Member”) with an unexpired lease and should be based in an Eligible Building. All prices listed are exclusive of VAT, a 20% charge will be added to your final bill. A VAT receipt will be generated upon receipt of payment. Please note that orders placed by non-members or those not based in an Eligible Building may not be handed over by the our team and are non-refundable (unless otherwise agreed by us at our sole discretion).

Recycling

As a Member in an Eligible Building, we kindly ask that you follow the waste disposal instructions which you will receive with your order upon collection. We have done our best to ensure that packaging can be easily disposed of into sustainable waste streams in place for your building, in line with Derwent London’s group recycling policy. If you have any questions in respect of recycling, please contact hello@derwentlondon.com for further information.

Late Notice

We understand that hospitality requirements can arise unexpectedly outside of our two working day policy. Things To Know

Your order will only be available for collection one hour after your chosen collection time.. Your order will be disposed of after one (1) hour and no refund will be provided on any items disposed of.

Data Protection and Data Privacy

Use of our Click & Collect catering only, recognises BaxterStorey as the Data Controller, and Spoonfed as the Data Processor. A Data Controller is a natural or legal person or organisation which determines the purposes and means of processing personal data; a Data Processor is a natural or legal person or organisation which processes personal data on behalf of a Controller. Data held will belong to Derwent London’s customers (“Data Subjects”).

BaxterStorey shall ensure Spoonfed:

a. lawfully, fairly, and transparently process personal data;

b. implement appropriate technical and organisational measures to safeguard personal data;

c. respond to Data Subject requests in accordance with GDPR requirements;

d. maintain records of processing activities and conduct Data Protection Impact Assessments where necessary;

e. notify the relevant supervisory authority and affected Data Subjects of any personal data breach as required by law; and

f. are bound by written agreements that comply with Article 28 of the GDPR.

Special Categories of Personal Data

If you share allergy or dietary information with us, we treat it as sensitive personal data. We only use it when necessary to provide safe and appropriate services, and we’ll always ask for your clear permission. Your information is kept secure and never used for anything else.

Data Retention

We shall only retain your information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. Your Rights

As someone whose personal data we may process, you have the right to:

a. access information we hold about you;

b. correct and update the information we hold about you;

c. have your information erased;

d. object to us processing your information

e. ask us to stop contacting you with direct marketing;

f. request that we transfer your information to another controller; and

g. withdraw consent for us to use our personal data at any time.

Consent

By placing an order, you consent to BaxterStorey and Spoonfed processing your data in accordance with these Terms and Conditions and the Policy. In accordance with your rights (as detailed above) you have the right to withdraw this consent at any time. Subject-matter of processing:

Personal data provided in relation to receiving quotations for catering and/or booking catering.

Duration of the processing:

Personal and sensitive anonymised information will be kept for the duration of one month of an event/booking.

Personal data is stored via email or the online hospitality booking system; Spoonfed which is password protected.

Nature and purpose of the processing:

Personal data is used to provide a catering service and mitigate allergen risks associated with the provision of this catering.

Type of Personal Data:

Details of the booker and their guests including names, organisation, email addresses, telephone numbers, job function etc.

Location and date of proposed event that requires catering.

Allergen information of guests

Name of the lead booker for the event/hospitality request

Categories of Data Subjects – Who are we capturing the data of

Clients employees, visitors and guests of the sites, suppliers

Personal Data Subjects

Sensitive Data Subjects – Specific allergen information

Specific processing instructions:

BaxterStorey use a third-party (Sub-processing) provider, Spoonfed for their online hospitality services. Spoonfed is a catering management software platform that helps caterers manage their operations and create orders. Spoonfed's online ordering system can streamline the ordering process for customers and catering teams. It offers features like group orders, multi-slot ordering, and enhanced ordering styles for complex scenario.

Personal data of the Client’s employees and visitors will be collected directly from the employee/visitor at point of purchase (or order for hospitality services) and stored securely via the Spoonfed portal with password protection and processed in connection with the provision of the Services and the online portal will delete the personal data when it is no longer needed. The Personal Data may be Processed, only in accordance with the terms of the

Agreement, by the following sub-contractors or recipients for the following purposes: a. Epos system (Lightspeed) - Payment for goods at tills; b. Order Booking System (Spoonfed) - Collect Personal Data for hospitality orders
