Online Ordering & Custom Menus
The online ordering tool, Spoonfed, accepts orders up to 7 days in advance.
For a truly customized experience, such as custom menus and themes, we kindly request a 14-day notice to allow for thoughtful menu planning and sourcing of the freshest ingredients.

To ensure the optimal selection and the best possible service, we kindly ask that events be booked at least seven business days in advance. We understand events arise unexpectedly, and we will do our best to accommodate your needs. If an order is placed less than 72 hours in advance, a $75 service charge will automatically be added to your invoice.

 

 

Billing & Payment
To streamline the process, we kindly request payment information be provided at the time of booking or five business days before your event. Credit card payments are subject to a 3.5% fee, while check payments are accepted with a credit card held on file and must be paid in full seven business days in advance. A 50% deposit is required upon booking, with the remaining balance paid in full and due seven business days in advance.

Texas A&M, on-campus partners, can pay with vouchers for all orders. A voucher payment must be processed within 30 days of your event. Any approved direct billing will be assessed a 5% late charge if the invoice is not paid within 30 days of the event and an additional 5% late charge will be added for each additional 30 days the bill is unpaid. Full payment is required before your event, except for those hosted by a Texas A&M department.

Planning Your Event

To ensure that your event is everything you envision and more, we kindly request that you book at least ten business days in advance. However, we understand that sometimes plans change unexpectedly, and we’ll do our best to accommodate your needs

If you have a selected plated meal option with a personalized guest selection, we will request a seating chart, along with menu cards indicating the entrée preference.

Special Dietary Restrictions

Your guests’ dietary preferences are important to us. Please inform us of any special dietary requirements as soon as possible, and no later than four business days before your event. Our culinary team will work diligently to accommodate these needs.


Guest Counts/Event Confirmation
Your confirmed guest count is crucial for us to deliver impeccable service. Please provide us with the final count 4 business days before your event to ensure a seamless experience for all attendees. This number is considered the guaranteed guest count. The final guest count cannot be reduced within the 4-day timeframe before the event. It is possible to increase the guest count. The price and menu may vary for the increased numbers, as these are based on product availability.

To confirm your event, if your catered event is less than $5000, a confirmation approval is required through Spoonfed. When the event totals over $5000, we kindly require a signed Banquet Event Order (BEO) to confirm your catered event.

Service Fee

A 22% service fee will be charged for all event orders. This will cover the setup and take-down costs associated with a staffed event (4 hours). Additional labor fees of $36.00 per hour, per attendant will be applied for a staffed event past the four-hour mark.

Any additional personnel requested by the client to be at the event will be charged according to the following scale:

Chef Attendant: $100.00 per hour, 2 hrs. minimum
Server: $36.00 per hour, 4 hrs. minimum
Bartender: $40.00 per hour, 4 hrs. minimum

Tax Exempt
Please remember to provide tax-exempt forms to our office three business days before your event to ensure smooth processing.

Alcohol Service
All alcohol services must be provided by Century Oak Catering/Chartwells, the holder of the liquor license. The reserving party must complete a “Request for Alcoholic Beverage Service at TAMU Event Form” (p.5 of attached policy doc. – serves as our required permission from facility owner / manager)

We do not provide alcohol for events that are serviced by outside caterers.

TABC requires the form be completed a minimum of 14 days in advance for a group over 500 and 4 days in advance for under 500 before the event in which you are requesting alcoholic beverages to be sold.

Casual Catering

To ensure proper delivery time, Century Oak Casual Catering orders must be placed 48 hours in advance. Napkins and disposable cutlery will be provided as needed depending on menu choice and guest count. Menus are priced for pick up at Memorial Student Center (MSC). Delivery will be limited to a five-mile radius of campus for a $25 fee. All items are packaged in disposable containers. When possible, recyclable and compostable packaging and flatware will be made available. Groups are responsible for clean-up and trash removal.

Sanitation and safety are of utmost importance. Please consume all hot and cold foods within a four-hour window.

For groups larger than 100, please contact our catering department.

Meeting Room and Equipment – outside of UCLUB
For all non-food-related equipment needs, please contact the building in which you booked your event to coordinate room reservations, setup, audiovisual equipment, and other requirements. As there are multiple buildings on campus, please confirm your space, guest counts, and event details with both facilities and catering.

Serviceware and China
For your convenience, compostable serviceware is provided with all orders to accommodate the guaranteed guest count. Should you desire china and glassware, these are available for an additional fee of $4.99 per person. Events held within the MSC and UCLUB will receive a discounted fee of $3.99 per person if china is requested. Black cloth napkins are included in the china fee.

Century Oak Catering offers an upgraded plasticware for $2/person

Linen
We include black tablecloths for all food and beverage service tables at your event. Additional black tablecloths for non-food tables are available for a $20.00 fee. Please inquire about sizing and any additional colors that could be offered. Specialty linens can also be arranged at market price. If desired, event planners may work directly with the rental company to avoid additional costs associated with ordering rentals.

Food Safety
For the health and safety of our guests, it is our strict policy that all food must remain with the catering department at the end of the event for proper disposal. Unless specifically ordered and contracted as carry-out items, no food or related products may be removed from the service area, except by authorized representatives of the catering team.  The catering team cannot provide containers for packaging leftover food. Our policy prohibits us from allowing guests to remove any remaining food or beverages. If food is removed from an event, the catering department isn’t responsible or liable for the quality or safety of these items.


Cancellation Policy

While we hope that cancellations won’t be necessary, we understand that circumstances may arise. We kindly ask for at least five business days’ notice for cancellations to avoid any charges. In the event of unforeseen cancellations, within three business days, billing will occur for 100% of the event unless the booking can be rescheduled within 48 hours.
