Terms & Conditions

You must agree to these Terms and Conditions before booking.

Leeds Beckett Hospitality is committed to supporting colleagues and visitors across the University with refreshments for meetings and events within the university. If you are planning a wider event which involves the organisation of other areas of the University, please refer to the ‘How to have a Great Event on Campus Document’, this will guide you through the steps you need to take.

 

Your Order

Orders should be placed online via the link online Hospitality

You will be required to supply an SBC and budget code for an internal recharge.

If you are looking to place an order to be invoiced to an external visitor, you will need to put in a new customer request to finance via the new customer request form once you have the customer ID you will be able to add your customers details to the booking – you will also need a Purchase order number from your customer.

 

We do have minimum order numbers on our menus so do please take care to check these. If your order falls below minimum numbers, we may ask you to collect your order or provide vouchers instead.

Please ensure you book your room via timetabling for the delivery before making your online booking. You will be required to state the area you require your order delivering to.

 

Should hospitality tables be required in the room, you will need to book these through Planon. If you require a specific room set up, you can also arrange via this link.

 

Your Food

 

 

 

 

 

 

 

 

 

 

Our food is freshly prepared and held under controlled conditions prior to delivery.  The Food and Hospitality department work to a robust food safety policy and procedure which is reviewed on an annual basis. You can find our food policy statement here.

 

All our food is prepared in a general working kitchen, and we are very careful about our preparation of orders that have allergy requirements. However, we cannot guarantee that your order will be free of allergens.  Should your delegates have an allergy or dietary requirements please include this in your order or notify us by email.

Trading Hours

Our standard trading hours are 8am – 4pm Monday to Friday

 

Additional Charges

Deliveries requested outside of standard trading hours will be subject to delivery charges.

·         Before 8am Monday to Friday £10.00 per delivery

·         Between 4pm and 6pm Monday to Friday £10.00 per delivery

·         After 6pm Monday to Friday £20.00 per delivery

·         Weekends £25.00 per delivery

 

If you require additional staff to serve your hospitality or support through an event there will be an additional charge of £15.00 per hour.

 

Notice Periods

The following notice is required for orders between Monday to Friday 8am – 4pm. The booking cut off time is 12noon.

·         2 working days’ notice for hot drinks and snacks.

·         3 working days’ notice for Breakfasts, Sandwiches, and cold buffets

·         5 working days’ notice for Drinks Receptions *, and hot fork buffets.

 

*Please note not all university buildings are licensed, if you require a drinks reception please call or email the team for advice before you book your order. In some instances, a Temporary Event Notice may be required. If this is the case the cost is £21.00, and you will need at least 20 working days’ notice prior to your event. The hospitality team can arrange for the Temporary Event Notice application process.

 

For orders on an evening between 4pm and 10pm 10 working days’ notice is required

 

Weekend bookings can be made with a minimum of 10 working days’ notice. Please contact the hospitality teams at city campus on CC_Hospitality@leedsbeckett.ac.uk and for Headingley Campus use HC_Hospitality@leedsbeckett.ac.uk to book weekend deliveries.

 

Of course we understand that sometimes requirements are needed at short notice, if this is the case please do get in touch with us and we will endeavour to provide you with something suitable.

 

For confirmed events we require final numbers 3 working days before the event and any amendments 48 hours before.

 

Please note that where numbers reduce at 24hours notice or less you may still be charged for the full order, please see our cancellations terms.

 

Your Delivery

·         We aim to deliver your order no more than 30 minutes before it is required.

·         Please ensure that the room/venue is accessible for the delivery staff.

·         If the room is locked, or catering is to be delivered outside a room, please ensure that a table or trolley is available for the delivery to be placed upon.

·         We cannot always deliver to rooms which are not accessible by lift or ramp.

·         In the event of difficulties, a voucher can be provided for use in our outlets.

·         The service staff will set up the delivery wherever possible.

·         All deliveries will be made with disposable cups, plates, and cutlery. If you require crockery for your event, please note this in the notes section on the order system.

 

Cancellation

If for any reason you need to cancel your booking lease let us know in good time.

Please note the cancellation charges below: -

·         Hot drinks and snacks up to 24 hours prior to your event no charge. Cancellation less than 24 hours before the event, you will be charged 50% of the booking.

·         All other bookings more than 3 days’ notice

·         More than 48 hours’ notice no charges.

·         48 hours or less 50% of the booking charge

·         24 hours or less you will be charged in full for your booking.

 

 

Restrictions

We are unable to deliver to some locations across the University particularly those with restricted access or no lift access in the buildings.

 

Please check with the team before planning your meeting or event that we are able to deliver to the building and floor required. If for any reason we are not able to deliver to you, we are able to organise vouchers or a collection point for you to pick up.

 

 

Dietary Requirements

It is your responsibility to provide dietary information to us for your guests. We will endeavour to cater for all special dietary requirements, such as allergens and intolerances.

 

Please ensure you note any dietary requirements on the booking system at the time of ordering. We do not have facilities to prepare halal or kosher food in specialised kitchens but can include alternatives such as vegetarian dishes when it is appropriate to do so. Our food is always carefully labelled in consideration of preferences and dietary requirements.

 


 

 

Events & Food Safety

University Health & safety procedures and food hygiene policies must always be adhered to and on occasions risk assessments should be carried out.

All other university and government legislation should always be strictly adhered to.
