Terms and conditions
These are
the terms and conditions of service between Cox Events Ltd and the
client.
Cox Events Ltd reserves the right to amend or waive any terms and
conditions for specific bookings and will notify the client in writing.
‘The
client’ – Company/
person/ organisation that Cox Events Ltd is to provide catering
services to
‘The company’ – Cox Events Ltd
‘Deliveries’
– Orders without waiting staff
‘Events’
– Orders with waiting staff or jobs over £1000
Complaints
In the
unfortunate instance that you may have a complaint relating to our service or
food, this would need to be sent to us in writing within 12 hours of the order
or event. Please retain any food items which have not met your expectations,
and we will arrange for a driver to come and collect in order for us to fully
investigate the matter.
Loss and Damages
The company
does not accept responsibility for personal property of the client or event
guests and is left at the owners’ risk.
Liability
The company
is not liable for any failure to provide any services due to any cause beyond
its reasonable control including, without limitation, any of the following: act
of God, governmental act, war, fire, flood, explosion or civil commotion. The
company cannot be held responsible for late deliveries out of our control which
include traffic, act of God, governmental act, war, fire, flood, explosion or
civil commotion. We will however keep the customer informed on any estimated
late arrival of goods and services.
VAT
All prices
quoted are exclusive of VAT which will be applied at the relevant rate.

Queries
from an invoice must be received in writing within 5 days of receipt.
deliveries
Delivery Times
All buffet deliveries are chilled upto the point of delivery. By law our all food must be consumed within 4 hours, when buffets are kept at ambient temperature.
Cox Events will deliver to as close to the time you require the buffet, however we ask our clients to be flexible. Cox events will always deliver your buffet prior to your requested time however we plan our delivery times upon location, size of the order and route access. Should circumstances out of our control (such as traffic and weather problems) cause us a problem to make the delivery on time, we will be in contact with you at the earliest convenience
Confirmation and
Quotes
The Client
must confirm all orders and amendments in writing.
All menus
confirmed when ordering are subject to availability.
Collections
All equipment
provided is returnable. We will arrange a time to collect all our equipment
from your venue. Any venue not within our usual 15mile radius, will be subject
to a collection charge.
Any missing or damaged equipment will be subject to replacement charges. Your account may be put on hold if damaged / missing equipment is not paid for upon request.
Costs
- Large Platter £5.00 + VAT each
- Small Platter £3.75+ VAT each
- Large Lids £2.75 + VAT each
- Small Lids £2.75+VAT each
- White Bowls £25.00 + VAT each
- Wooden Trays £15.00+VAT each
- Stackable Delivery Boxes £20.00 + VAT each
- Returnable Cutlery £1.50 + VAT per item
Cancellation
Any
cancellation made by the client must be notified to the company in writing.
Cold food
orders must be cancelled 72 hours prior to delivery.
Hot food
orders must be cancelled by 72 hours prior to delivery.
Cancellations
received after these deadlines will incur a charge at the management’s
discretion.
Cancellations
received on day of delivery will be charged in full.
Any changes to be made to any booking, must be made no later then 72 hours prior to the delivery time of your scheduled delivery. Any changes made after this may not be possible and you will still be charged.
Payment Terms
All orders must be paid for in full prior to delivery
Credit accounts can be made available, subject to status
Events and Deliveries over £1000
Confirmation and
Quotes
The Client
must confirm all event bookings and amendments in writing.
The Company
reserves the right to revise catering quotes on changes to event.
Final
numbers are required 7 working days prior to event date.
The
Client’s confirmation means the client has accepted these terms and conditions
and the quotation.
All menus
confirmed when ordering are subject to availability. .
Taxis may
need to be provided by client for staff working after 11pm. All associated costs are to be met by the client.
Cancellation
Any
cancellation made by the client must be notified to the company in writing.
Cancellations
to be received five working days prior to event date.
Any
cancellation made by the client after five working days prior to event date the
company reserves the right to retain 10% of the deposit to compensate for costs
incurred.
Payment Terms
A 50%
deposit is required for orders over £1000 and events.
Cox Events Ltd will notify the Client of the deposit required and the
date(s) of payment.
The company
requires full pre payment from any client with no credit facilities, we accept
all major credit cards.
Clients
with credit facility are required to pay 30 days from date of invoice.
