Terms & Conditions

• All orders should be placed as soon as possible and no later than 3 working days prior to the delivery date.
• Orders placed with less than 3 working days’ notice may be accepted at the discretion of the Catering department but will attract the following surcharges;
a. for orders placed more than 36 hours prior to the delivery time/date, a 10% surcharge will apply
b. for orders placed less than 36 hours prior to the delivery time/date, a 25% surcharge will apply
• Orders may be cancelled or amended subject to notice requirements;
a. for orders of up to £200 in value, a minimum of 3 working days’ notice must be given for cancellation or amendments
b. for orders of between £201-£999 in value, a minimum of 5 working days’ notice must be given for cancellation or amendments
c. for orders of £1000 or more in value, a minimum of 10 working days’ notice must be given for cancellation or amendments
d. ALL cancellations or amendments will only be valid if written (i.e. email) confirmationis received from the client OR supplied to the client by the Catering department
• Where orders are cancelled or amended without giving the required notice, a cancellation charge of up to 100% of the booking value, will be charged.
• All allergy information is available upon request or on our website. Catering Services will seek to accommodate all special requests if they are submitted within 5 days of the meeting/event.
• All orders are subject to availability and delivery of specific items cannot be guaranteed; on occasion it may be necessary to substitute items.
• All prices are per person unless stated.
• Orders will only be accepted upon provision of a valid and appropriately authorised internal recharge code; any external organisations wishing to order hospitality should contact the Event Support Services team events@swansea.ac.uk
• VAT is not applicable on food and tea/coffee.
• VAT is always applicable on soft drinks and alcoholic beverages.
• Between 11.30am and 2.00pm priority is given to food deliveries, we may not be able to accommodate bookings for beverages only.  This will not apply to bookings for beverages with our delivered buffet service.
• All non-disposal tableware and equipment needs to be returned to catering or a charge will be incurred.
• Customers are expected to be aware and execute their responsibility for the chosen service packages. Failure to do so will result in a charge. Requirements are below;
a. In the box – Customers are expected to clean waste and put all catering items back in the trolley; disposable of leftover food and disposable tableware is the responsibility of the client;
b. Presented – Customers are expected to have the table/s ready and to leave items tidied to the table or trolley, as Catering Services might not return to collect the items until the end of the day;
c. Fully Serviced – Customers are expected to have a table/s ready for service
• Standard operating hours are 8.30am – 5.00pm Monday – Friday and events outside of these times maybe subject to a labour cost surcharge
• When your food is delivered please store it carefully away from direct sunlight or heat sources; please keep food covered until it is required to ensure freshness and be aware that food deteriorates when left out at room temperature; food safety guidelines recommend consumption within 3 hours of receipt.
• Catering Services shall not be liable to the client in the event that it is unable temporarily to provide catering for any reason beyond its control provided that the Catering Services will use all reasonable endeavours to make suitable alternative arrangements in such circumstances.
• Catering Services will not accept liability for illness or deterioration of products if food is consumed after 3 hours of delivery time.
• Minimum charge - £25.00 for each delivery
